WeTransfer Sign works with any PDF, which covers most documents common in healthcare settings: patient consent forms, HIPAA acknowledgment notices, treatment authorization letters, staff employment agreements, vendor contracts, and confidentiality agreements. If your document can be saved as a PDF, you can upload it, assign signature fields, and send it for signing. Keep in mind that any transfer containing health-related file content is subject to WeTransfer's consent requirements for health data and carries a fixed maximum expiry of 60 days that cannot be extended under any plan.


No account is required on the recipient's side. When you send a document through WeTransfer Sign, each person receives a personal signing link by email. They click the link, confirm their identity with a one-time verification code sent to their email address, and sign directly in their browser. This keeps the process low-friction for patients who may not be tech-savvy and for clinical staff who do not have time to create new accounts.


WeTransfer Sign produces a Simple Electronic Signature (SES) under EU eIDAS and an electronic signature under the U.S. Federal E-Sign Act, suitable for a wide range of everyday agreements. For many standard healthcare documents — staff onboarding forms, general consent notices, vendor agreements — this level is appropriate. However, specific requirements vary by country, jurisdiction, and document type, so for highly regulated clinical or legal documents, confirm with your compliance team whether a higher-level signature type is needed.


Yes. When you set up a document in WeTransfer Sign, you can assign signature fields to multiple recipients and each person receives their own personal signing link. This works well for situations where, for example, both a patient and a clinical representative need to sign the same consent form, or where several members of staff must acknowledge a policy update. You can track each person's completion status in real time from your Sign dashboard.


WeTransfer Sign is completely free with no limits on documents sent for signing. Signature transfers are counted separately from your regular WeTransfer file transfers, so using Sign does not affect your monthly transfer activity. Signed documents remain active for one year from the time they are sent, giving everyone involved time to access and download the completed file.
