Log in to your WeTransfer account, click Request Files on the homepage, give your request a title such as "Vendor Insurance Documents" or "Event Run Sheet Submission", and optionally add instructions specifying what PDFs to include and any naming conventions. WeTransfer generates a shareable link you can paste into an email, booking system, or supplier portal. When someone uploads a PDF, you receive an email notification and the file appears in the Received tab of your account.
No paid plan is required. Anyone uploading to your request needs only a free WeTransfer account, which takes moments to create. You also need at least a free account to create the request itself. This makes it straightforward to collect documents from caterers, florists, AV contractors, or one-time event clients without asking them to pay for anything.
WeTransfer does not compress or alter files in any way, so PDFs arrive exactly as they were created. Multi-page contracts, scanned certificates of insurance, detailed banquet event orders, and branded catering menus all retain their original formatting and resolution. Yes. When creating a request, you can add a title and a free-text instructions field. You might use this to specify which documents are required, such as public liability certificates, signed proposals, or health and safety compliance forms, along with preferred file naming and any submission deadline. Those instructions are visible to anyone who opens the link before they upload.
A single upload request link can be shared with as many suppliers, contractors, or clients as you need, and each person can upload independently. All submitted PDFs appear in the Received section of your account, and you get a separate email notification for each upload so nothing slips through. To stop accepting new submissions, go to your Transfers panel and close the request. You can also delete a request entirely if it is no longer needed.
