Create an upload request and share the link with patients, referring providers, or administrative staff. They upload their documents directly to your WeTransfer workspace, and you receive an email notification the moment each file arrives. No fax machines, no email chains, no chasing paperwork.
Request once, receive from anyone
Healthcare teams routinely need documents from patients and external parties, whether that's intake forms, insurance records, referral letters, lab reports, or signed consent documents, and coordinating those submissions by email or fax is slow and error-prone. WeTransfer upload requests give you a dedicated link you can include in a patient portal message, an appointment confirmation email, or a staff communication, so every document lands directly in your workspace without any technical setup required on the sender's side. Documents arrive exactly as uploaded, with no compression or alterations, so multi-page PDFs, Word documents, and scanned forms come through at their original quality and ready to use. You can preview supported document formats in your browser before downloading, making it easy to confirm the right file has arrived without pulling everything to your computer first. Both you and the people sending documents need a free WeTransfer account, and your first request is ready to share in minutes.

All your questions answered.
Go to the WeTransfer homepage, click Request Files, give your request a title such as "Patient Intake Documents" or "Referral Records," add any instructions you want senders to follow, and copy the generated link. You can then share that link however works best for your practice, by email, in a patient portal message, or on a printed instruction sheet. You will receive an email notification each time someone uploads a document, and all submitted files appear in the Received tab of your account.
Anyone sending documents to your upload request needs a free WeTransfer account, but they do not need a paid plan. There is nothing to install and no complex setup required on their end, which keeps the process straightforward for patients and external parties who may not be familiar with file-sharing tools. You, as the person creating the request, also need at minimum a free WeTransfer account.
WeTransfer accepts any file type, so senders can upload PDFs, scanned documents, Word files, Excel spreadsheets, PowerPoint presentations, and more. This covers the full range of documents common in healthcare settings, from referral letters and lab results to completed intake forms and insurance authorization paperwork. Files are transferred without any compression or quality loss, so multi-page clinical documents and signed forms arrive exactly as they were sent.
Yes. When creating an upload request, there is an optional instructions field where you can specify exactly what you need, such as file formats, document names, or deadlines. For healthcare use, this is useful for telling patients to upload a specific form, attach both sides of an insurance card, or label their files with their date of birth. Clear instructions reduce back-and-forth and help ensure you receive the right documents the first time.
Submitted documents appear in the Received tab of your WeTransfer account, where you can review, preview, and download them. All files are encrypted in transit using TLS and at rest using AES-256, and WeTransfer stores data on EU servers with ISO 27001 certification, which supports compliance-conscious workflows. WeTransfer does not view, sell, or share your files, and your content is never used to train AI models. For teams that need shared access to incoming documents, a Teams plan gives multiple colleagues a shared workspace with centralised management.
