Hospitality work runs on sensitive files — vendor contracts, event layouts, staff schedules, menu proofs, guest-facing materials. Before you share a WeTransfer link, set a password in the upload window and every recipient has to enter it before they can reach a single file. No software to install, no account needed to download, and password protection is available on every plan.
Keep your files private
When files move between properties, catering partners, event planners, and management, keeping access tight is just good practice. WeTransfer lets you add a password before your transfer goes out, so the link and its protection are in place from the start. WeTransfer never includes the password in the notification email it sends to recipients, so you decide how to pass it along — a direct message, a call, a Slack thread, whatever already connects you to that person. Everything from branded menus and floor plans to signed contracts and high-resolution event photography travels exactly as you uploaded it, with no compression or quality loss. If staff changes or a vendor relationship ends, you can update or remove the password on any active transfer from your Transfers panel without touching the original files.
Our features are designed to minimize how much of your data we — or anyone else — can access, so you can keep what's yours, yours.

When you upload a transfer, you'll find a password field in the transfer options panel. Set your password there, share the link with your recipient — a catering partner, a venue coordinator, a GM — and they'll be prompted to enter it before any file can be accessed or downloaded. WeTransfer does not include the password in the notification email it sends, so you pass it along through whatever channel you already use with that person.
WeTransfer works with any file type, so you can send PDFs, Word documents, spreadsheets, images, high-resolution event photos, video walkthroughs of a venue, design files for menus or signage, ZIP archives, and more. Files are sent exactly as uploaded, with no compression or quality loss, so printed assets and visual materials arrive at full fidelity.
No account is needed on the recipient's side. Anyone with the link and the password can open the transfer and download the files directly in their browser. This makes it straightforward to share materials with external suppliers, caterers, or event clients regardless of whether they use WeTransfer.
Yes. On top of a password, you can enable restricted access, which limits downloads to a specific list of email addresses you define. Even if the link ends up somewhere unintended, only the addresses on your list can get through. This combination is useful for confidential documents like financial reports, employment contracts, or guest data files.
Yes. Open any active transfer in your Transfers panel and you can add, change, or remove the password at any time without re-uploading the files. If a staff member changes or a supplier relationship ends, you can revoke or rotate access immediately. You can also delete a transfer entirely, which kills the download link straight away.
