When you're uploading a PDF, look for the Password field in the transfer options panel before clicking Transfer. Enter the password you want, finish the upload, and the gate is set. WeTransfer stores passwords in a secure, irreversible format, so staff cannot retrieve a forgotten one, and it is never sent inside the notification email. Share the password with your recipient through a separate channel, such as a phone call or a secure messaging platform, to keep it out of the same thread as the document.


Password protection is available on every WeTransfer plan, including the free one, so any member of a healthcare team can use it without a subscription. You can set, change, or remove a password on any active transfer from your Transfers panel, and those changes take effect immediately for anyone who next opens the link.


Yes. On top of a password, you can enable restricted access to limit downloads to a specific list of verified email addresses, so recipients must both know the password and be on your approved list before they can reach the file. This layered approach suits healthcare scenarios where a PDF containing patient data or a referral should only ever be opened by a named clinician or administrator, not anyone who happens to receive a forwarded link.


No account is needed to download or preview a transfer. A recipient, whether a GP, a specialist at another organisation, or an external auditor, simply opens the link, enters the password you shared with them separately, and can then preview or download the PDF straight from their browser. This removes any friction for people outside your organisation who may not use WeTransfer themselves.


Yes. Download tracking is available on all plans and must be explicitly enabled by the sender at the time of upload. For email transfers, you can see a checkmark against each recipient's address once they download, along with the exact date and time. On paid plans, you can also enable tracked downloads, which ask anyone who opens the link to verify their email address before downloading, giving you a clear record of who accessed the file and when.
