When you upload a transfer, you will find the password field in the transfer options panel before you click send. Type in a password of your choice, complete the upload, and your recipients will be prompted to enter it before they can access any of the files. The password is never sent in the notification email, so you share it with the recipient through a separate channel, such as a phone call or a secure internal message.
Yes. Open your Transfers panel, click the relevant transfer, and you will see options to set, change, or remove the password at any time. The change takes effect immediately, and you do not need to re-upload the files or create a new transfer. This is useful if a recipient changes or if you need to rotate access credentials quickly.
No account is needed to receive or download a transfer. Recipients simply open the link, enter the password you have shared with them separately, and download the files directly in their browser. This keeps the process low-friction for patients, referring doctors, labs, or any external party who may not have a WeTransfer account.
Yes. Restricted access lets you specify a list of email addresses that are permitted to download the transfer, on top of the password. Even if someone obtains the link and the password, they will only be able to download the files if their email address is on your approved list. This combination is well suited for transfers containing highly sensitive patient data or confidential clinical correspondence.
All files are encrypted in transit using TLS and at rest using AES-256, and stored on AWS servers in Ireland under EU data protection standards. WeTransfer is ISO 27001 certified and fully GDPR-compliant, with Data Processing Agreements available for business plan customers. Files are never viewed by WeTransfer staff, never sold to third parties, and never used to train AI models, giving healthcare organisations a clear baseline of data handling accountability.
