Know who's actually read your shared spreadsheet

Sharing a spreadsheet with a client or team member is easy. Knowing they actually opened it is where things usually get murky. WeTransfer tracks preview activity and downloads on your spreadsheet transfers, so you can see exactly who engaged and when, without chasing anyone for confirmation.

Keep count of who views your transfer

When a budget, report, or proposal is sitting with someone waiting for sign-off, the difference between a preview and a download tells you a lot about where they are in the process. WeTransfer lets recipients open spreadsheets directly in the browser before deciding to download, and that preview activity is recorded in your Transfers panel as a separate event from a full download. Turning on download tracking links every access to a verified email address and a timestamp, so you have a named record of who looked at each file rather than a vague sense that the link was opened. If a financial report or data file is meant for a controlled group, you can lock access to a specific list of email addresses, keeping the content away from anyone not on it. Spreadsheets arrive exactly as you uploaded them, with no changes to formulas, formatting, or file structure.

FAQs

All your questions answered.

Yes. WeTransfer records preview activity and download activity as separate events in your Transfers panel, so you can tell whether a recipient opened your spreadsheet in the browser or actually saved it to their device. This distinction is useful when you're waiting to see how far along a client or colleague is with reviewing a file. Supported spreadsheet formats include XLS, XLSX, CSV, and ODS.

When setting up your transfer, look for the Access Control option in the transfer settings panel. Selecting Tracked downloads means anyone who opens the link will need to verify their email address first, and you'll receive a notification each time someone accesses the file. Each download event is then listed in your Transfers panel with the recipient's name, email address, and the time they accessed it.

Yes. With download tracking enabled, each access is logged individually against a verified email address, so if you send a report to five people you get five separate records rather than a single combined count. For email transfers, you can send to up to 10 recipients on a free account or up to 50 on a paid plan. For link transfers there is no recipient cap, and each person who opens the link still needs to verify their email before accessing the file.

Yes. The Restricted downloads option in Access Control lets you define an exact list of email addresses that are allowed to open the transfer. Anyone who tries to access the link but is not on your list will be blocked. You can update the access list after sending from the transfer details page, and changes take effect immediately. This is useful for confidential reports, financial models, or any file that should stay within a defined group.

No. Recipients can preview and download your spreadsheet without creating a WeTransfer account. If you have download tracking or restricted access enabled, they will be asked to verify their email address before accessing the file, but that is a one-step verification rather than a full sign-up. Only the sender needs an account, which is free to create.
