Know who's reading your hospitality PDFs

Every transfer you send through WeTransfer comes with a built-in preview count, visible the moment your PDF is shared. When you need to know exactly who on your team or client list has read a proposal, menu, or event brief, access control gives you a per-recipient record of who opened it and when.

Keep count of who views your transfer

Chasing clients to confirm they've reviewed a proposal, event contract, or catering brief is a time sink hospitality professionals know well. WeTransfer shows a running preview count on every transfer by default, giving you a clear signal on engagement without any setup. When a headcount is not enough, you can switch a transfer to tracked or restricted mode and pull up a full log of which recipients previewed your PDF and at what time. Download tracking is available separately, so you can distinguish between someone who browsed your menu PDF and someone who actually saved it. Everything is organized in your transfer list, making it easy to follow up with the right people at the right moment.

FAQs

All your questions answered.

Yes. By default, WeTransfer displays a preview count on every transfer, so you can see how many times your PDF has been opened. To see individual recipients, enable access control on the transfer, which switches you to a per-recipient log showing each person's name and the exact time they previewed your file.

WeTransfer does not send email notifications for previews, so your inbox stays clear of noise. Instead, your transfer list updates with a live count you can check whenever you like, and if access control is enabled, the per-recipient log is there whenever you want the full picture before a follow-up call.

There is. Preview tracking records every time a recipient opens the file in-browser, while download tracking captures when someone saves a copy to their device. Both are available on all plans, but download tracking must be turned on explicitly by the sender. For hospitality teams sharing event proposals or rate sheets, having both gives you a clear read on genuine interest.

Yes, recipients can open and read PDFs directly in the browser without downloading anything, which is useful when you're sharing multi-page banquet proposals or accommodation packages and want clients to review before committing to a download. You can also choose to restrict a transfer to preview-only mode if you'd prefer recipients not save a local copy at all.

On Free and Starter plans, transfers expire after a maximum of 3 days. With an Ultimate plan or above, you can set a custom expiry date or let transfers stay live indefinitely, which is particularly handy for ongoing venue agreements, catering menus, or seasonal packages that clients may need to revisit. If a transfer has already expired, Ultimate subscribers can also recover it retroactively.
