See exactly who's opened your shared hospitality files

WeTransfer records a preview count on every transfer the moment it's shared. For a fuller picture, access control lets you see each recipient by name alongside the exact time they opened your materials, whether that's a venue proposal, event brief, or supplier contract.

Keep count of who views your transfer

Sending files to clients, event planners, or venue partners is only half the job. Knowing whether those files were actually looked at tells you when to follow up and when to hold off. WeTransfer logs preview activity on every transfer automatically, so a live count is always visible in your account without any configuration. When you need to go further, switching a transfer to tracked or restricted mode builds a per-recipient record, showing you who opened your files and when, person by person. For hospitality professionals managing proposals, catering decks, floor plans, or rate sheets across multiple contacts, that level of visibility keeps communication precise and follow-ups timely.

FAQs

All your questions answered.

Every transfer in your WeTransfer account displays a preview count by default, so you can see at a glance how many times your files have been opened. If you want to know which specific clients viewed them, enable access control (tracked or restricted mode) before sending, and WeTransfer will generate a per-recipient log showing who previewed your files and at what time.

WeTransfer does not send email notifications when someone previews a transfer, but the information is always waiting in your account. With access control enabled, you can check the recipient log at any point and see exactly who has opened your materials, which is often more useful than an inbox full of real-time alerts.

Recipients can preview images, PDFs, video, and audio files directly in the browser without downloading anything. This means a hotel client can review a floor plan PDF, a venue walkthrough video, or a set of room photography inside the transfer link itself, and you still get meaningful view data from that interaction even if they never save a copy.

Yes, view tracking and download tracking are separate features on WeTransfer. Preview counts are always on, while download tracking needs to be explicitly enabled by the sender before sharing. Using both together lets you distinguish between a client who browsed your event proposal and one who actually saved it, which is a useful signal when deciding how to follow up.

Restricted access lets you lock a transfer to one or more specific email addresses, so only the recipients you name can open the link. For hospitality teams sharing confidential rate sheets, contracts, or supplier agreements, this means the file stays between the right people. Anyone else who tries the link will be blocked, and you still get the per-recipient view log showing who accessed it and when.
