Control when your retail file links expire

In retail, timing is everything, and so is controlling who can access your files and for how long. WeTransfer lets you set a precise closing date on any transfer before you hit send, so lookbooks, purchase orders, campaign assets, and supplier documents become unreachable the moment your window closes.

Transfer expiration is in your hands

Retail teams share time-sensitive files constantly, from seasonal campaign visuals to vendor contracts and promotional briefs, and keeping those links open longer than necessary creates unnecessary exposure. WeTransfer lets you build an access deadline directly into each transfer at the point of sending, and the link deactivates automatically when that date arrives. Every file arrives exactly as it was prepared, with no compression or re-encoding applied, so product photography, print-ready PDFs, and spreadsheet forecasts reach buyers, agencies, or suppliers in their original state. You can layer on additional controls too, like a password for confidential pricing documents or an access list tied to specific email addresses when a file is only meant for named recipients. Recipients need no WeTransfer account to download, which keeps things smooth across the mix of external partners, agencies, and vendors typical in retail.

FAQs

All your questions answered.

When you add your files to a transfer, open the transfer options before clicking Send and look for the expiry setting. From there you pick the date you want the link to close, and WeTransfer deactivates it automatically when that moment arrives. The supplier or agency receives their download link as normal and can access files up until the deadline you set.

Yes. Go to your Transfers panel, open the transfer, and find the expiration date field, then pick a new date from the calendar. The change takes effect immediately, so if a buyer needs a bit more time to download a lookbook or a vendor missed the window, you can extend it without re-uploading anything. Recipients are not automatically notified, so let them know directly if timing is tight.

Free and Starter plan transfers are capped at a 3-day maximum, which can be too short for retail workflows involving external agencies or international suppliers across different time zones. WeTransfer Ultimate lets you choose any duration you want, including keeping a transfer active indefinitely, so you can match the access window to your actual deadline rather than a fixed cap. Teams and Enterprise plans include the same flexibility, plus shared branding and centralized billing useful for larger retail organizations.

Yes. Before sending, enable the restricted access option and add the email addresses of the people you want to allow. When someone opens the link, they must verify their email address, and access is only granted if they match your list. This is useful for sending confidential pricing documents, early-access seasonal ranges, or contract drafts to named contacts without worrying about the link being forwarded.

On Free and Starter plans, once a transfer expires the files are gone and cannot be retrieved. On Ultimate, Teams, and Enterprise plans, expired transfers can be recovered within set recovery windows, so if a buyer comes back after a link has closed you have options without re-uploading the entire asset pack. The recoverable option is enabled by default on new transfers for paid plan users, and recovery even covers transfers that expired before you upgraded.
