See exactly who downloaded your shared files

Government bodies and NGOs need more than a sent receipt. WeTransfer shows the download status of every transfer you send, and when you use email delivery, each recipient is tracked individually so you can confirm who has collected the files and act on who has not.

Keep tabs on your transfer's downloaders

Accountability matters when you are distributing policy documents, grant materials, or field reports to partners, beneficiaries, or oversight bodies. WeTransfer records download activity on every transfer you send, updating your account the moment a recipient collects the files, so you never have to guess whether critical materials landed. For email transfers, each recipient has a separate status, letting you identify which programme officer, regional office, or external reviewer still needs a follow-up without sending a round of chasing emails. When a verifiable record of access is needed, enabling Access Control before you send requires anyone who opens your link to verify their email address first, and you receive a notification each time a download occurs. For materials restricted to authorised personnel only, Restricted downloads ties the transfer to a named list of approved addresses, so sensitive documents reach only the people they are intended for.

FAQs

All your questions answered.

Open the Transfers panel in your account and find the relevant transfer. For email transfers, each recipient listed shows an individual download status, and you can hover over the checkmark to see the exact date and time they collected the files. This gives government teams and NGOs a clear record of who has received what, without needing a reply email to confirm.

Yes. Before sending, enable Tracked downloads under Access Control in the transfer settings. Anyone who opens the link is prompted to verify their email address first, and you receive a notification each time a download takes place, including who accessed the files and when. This is particularly useful for NGOs coordinating with multiple regional offices or government departments where confirmed receipt matters.

Yes. Enabling Restricted downloads before you send ties access to a specific list of approved email addresses. Anyone who opens the link must verify their email, and access is only granted if they appear on your list. For government and NGO work involving sensitive programme data, beneficiary information, or restricted policy drafts, this ensures the files reach only the intended recipients.

WeTransfer encrypts files in transit using TLS and at rest using AES-256, is ISO 27001 certified, and is fully GDPR-compliant as an EU-based service. Files are stored on AWS servers in Ireland, and Data Processing Agreements are available for business plan customers. Your content is never sold, shared with third parties, or used to train AI models.

Yes. When you send a transfer by email, each recipient is tracked individually in your Transfers panel. For government distributions or NGO reporting cycles where the same document goes to several stakeholders, you can see at a glance which contacts have downloaded their copy and which have not, making follow-up straightforward and targeted.
